What changes day to day

The definition sounds abstract until you see it in operation. These are the concrete changes a company notices after moving to UCaaS:

  • One history per customer. The call, the WhatsApp message and the email from the same person appear together instead of in three separate systems. Whoever answers already knows what happened before.
  • The extension stops being a place. It belongs to the person, not the desk: it rings the same in the office, at home or on a mobile.

What to ask before signing

  • Are the numbers yours? You must be able to port them if you ever leave. If not, you are locked in.
  • What happens when your internet fails? Ask about the forwarding plan, not the availability pitch.
  • Where the data lives and who can see it. Recordings and messages are sensitive information.
  • Support, from whom and in what language. A voice problem at 3 p.m. is not solved by email in 48 hours.
  • What the per-user price includes and what is billed separately: minutes, recording, storage, integrations.
  • Whether you can export history and recordings if you change provider.

When UCaaS is not the answer

To be fair: if you have ten people in one office, no remote work, and a PBX bought two years ago that works fine, a full migration will not change your life. In that case it makes more sense to modernise only the lines with a SIP Trunk and leave the migration for when the hardware is due for renewal.

Can I use desk phones with UCaaS?

Yes. SIP-capable IP phones register just like the softphone and share the same extension.

What happens to the numbers I already have?

They get ported. That is the final step of the migration; until then everything is tested with temporary numbers.

Do I need a special internet link?

No, but it must be stable. A call uses around 100 kbps each way; what matters is latency and packet loss, not megabits.
