A cloud contact center lets Costa Rica businesses handle calls and messages with queues, agents, IVR and reports, without servers or physical phone systems. Everything is managed over the internet and scales with your operation.
This article is about running a cloud contact center in Costa Rica. To first understand the concept and its features, read What is a Contact Center and how it works.
What is a cloud contact center
It is a managed platform that brings telephony, call distribution and messaging together in one place. Your agents work from the office or from home with a softphone, and you control queues, times and quality from a dashboard.
Benefits for Costa Rica businesses
- No infrastructure: you do not buy or maintain servers or phone systems.
- Remote work: agents connected from anywhere.
- Scalable: add agents and campaigns as demand grows.
- Local support: implementation and guidance from TelHarbor.
Features
- Queues and distribution: route calls among available agents.
- IVR: voice menus and business hours.
- Recording: record calls for quality and compliance.
- Wallboard and monitoring: see the operation live with presence and times.
- Reports: by queue, agent and period, to make decisions.
- Omnichannel: add SMS and WhatsApp to support.
Who it is for
For call centers, help desks, collections, sales and any team that handles a volume of calls or messages. It integrates with your IP telephony and phone system.
How to start
TelHarbor designs, implements and manages your contact center, with local Costa Rica numbers and support. Learn about the service on Contact Center, see the plans or request a quote.
What to have ready before launch
Standing up the platform takes little time; deciding how you want to serve takes longer. Come prepared with:
- Which queues you will have and why. Split by real skill (who knows how to solve what), not by org chart.
- Hours and holidays, including what happens after hours: voicemail, bot or forwarding.
- The menu tree, kept short: five options maximum and two levels.
- Which agent belongs to which queue and at what priority.
- Your service level target, so reports mean something from day one.
- A recording policy: what is recorded, how long it is kept and who may listen.
Connectivity: what actually matters in Costa Rica
A cloud contact center does not need much bandwidth — around 100 kbps per call each way — but it does need a stable link. Twenty agents talking at once is about 2 Mbps, which is modest; what ruins audio is packet loss and jitter, not speed.
Concrete recommendations: a dedicated link or voice prioritisation for the service area, cable instead of Wi-Fi at fixed positions, and a headset for everyone. For home-based agents, the same list plus a five-minute test call before they take customers.
How the operation gets sized
The question is not how many calls you get per month but how many at the same time in your peak hour. A hundred calls spread across the day need two people; a hundred between 9 and 10 a.m. do not.
Look at the hourly and daily distribution of recent weeks. That is where the real peak shows, and the conversation moves from "I need more people" to "I need cover on Mondays between 9 and 11". Often staggered shifts solve it without hiring.
What to review in the first month
- Service level and abandon rate per queue and per hour, not just the monthly total.
- When people abandon most. There is almost always one specific band that explains the bulk of it.
- Transfers between teams: if there are many, the menu is badly labelled.
- Repeated reasons: if 40 % of calls are about the same thing, that is solved with information or a bot, not more agents.
- Agent occupancy: sustained above 85 % and people burn out; below 60 % you are overstaffed in that band.
Frequently asked questions
Can my agents work from home?
Yes. The cloud contact center works with a softphone, so agents answer from the office or remotely.
Does it include recording and reports?
Yes. You can record calls and see reports by queue, agent and period, plus a live wallboard.
Can I handle WhatsApp and SMS?
Yes. Besides calls, you can add SMS and WhatsApp for omnichannel support.
How much does it cost?
It depends on agents, channels and features. See a baseline in the plans or request a tailored quote.
How long until it is operational?
The platform comes up quickly; the timeline is set by having queues, hours and the menu decided. With that ready, it is answering calls within days.
How much internet do 20 agents need?
Around 2 Mbps for simultaneous calls. What is critical is link stability and voice prioritisation, not the headline speed.
Can agents work from home?
Yes, with the same extension and the same queues. A headset, 5 GHz Wi-Fi or cable, and a test call before they take customers.
Can I start with just a few agents?
Yes. Agents are added or removed as demand changes, without switching platform or buying hardware.
