The cost of a business phone system depends on more than the list price. Here are the real factors, and why the cloud (UCaaS) is usually cheaper than a traditional PBX.

What drives the cost

  • Hardware: a traditional PBX requires on-site servers and equipment (high upfront cost). The cloud does not.
  • Lines or trunks: physical lines are replaced by a cheaper SIP Trunk.
  • Number of users: the cloud charges per user and scales as you grow.
  • Maintenance: traditional means you pay for it (on-site tech); in the cloud it is included.
  • Features: call center, recording, reports, messaging... in UCaaS they usually come integrated.

A traditional PBX front-loads spending into an upfront investment (CAPEX) plus variable maintenance. A cloud system is a monthly per-user cost (OPEX), with no hardware surprises and everything managed. For most companies, the cloud lowers the total cost.

The costs that never make it into the quote

When two proposals get compared, half the maths is usually missing. These are the items that tend to be left out and show up later:

  • Implementation: configuring extensions, menus, queues, schedules and training the team. A one-off charge, sometimes waived with a contract.
  • Minutes: the per-user price rarely includes traffic. Check where your company actually calls.
  • Recording and storage: recording is cheap; keeping two years of recordings is less so.
  • Additional numbers and toll-free.
  • After-hours support, occasionally a separate plan.
  • Integrations with your CRM or in-house system.

Comparing two proposals fairly

Put both in the same table and work out the monthly total for your real case, not the list price:

  1. Count the users who will actually have an extension. It is almost always fewer than assumed.
  2. Add up a typical month of minutes, split by destination.
  3. Add numbers, recording and anything mandatory for your operation.
  4. Spread implementation over 24 or 36 months and add it to the monthly figure.
  5. Compare that total, not the "from $X per user".

Where money leaks unnoticed

  • Licences nobody uses. People who left the company and are still billed. Reviewing the list quarterly pays for itself.
  • Mobile minutes when the same contact could have been handled over WhatsApp.
  • Calls that should never reach an agent: repeated questions a menu or a bot resolves.
  • Spare channels bought "just in case" and never used.

The useful conversation is not "what does a phone system cost" but "what does it cost me to handle one call today, and how do I bring that down".
