A CRM with phone integration is a customer system that already knows how to call, message and record what happens in every conversation. Instead of copying numbers from the CRM into the phone and writing notes afterwards, everything happens from the customer record.
The cost of working with two screens
The most common setup in a sales or service team looks like this: the CRM in one window, the desk phone on the table and WhatsApp on each agent's mobile. The agent looks up the customer, copies the number, dials, talks, hangs up and, if they remember, logs the call. WhatsApp messages never reach the CRM.
The result is an incomplete history. When the customer calls again, whoever answers does not know what was promised, and the manager cannot tell how many contacts each agent really made.
What changes when calling lives inside the CRM
- One-click calling: from the record, the agent's extension rings and the system dials the customer with the right outbound number.
- Automatic history: every call, SMS, WhatsApp and email appears on the customer timeline without anyone typing it.
- Messages from the record: with templates filled in with the customer's name and case details.
- Full context: the record also shows open tickets, deals in progress and upcoming appointments.
Features worth having
Deals by stage
Each opportunity moves through stages until it is won or lost. Seeing how many sit in each stage helps forecast the month's sales and spot where they stall.
Appointments with reminders
Booking the appointment during the call and having the customer receive a reminder by email, WhatsApp or SMS cuts no-shows with no manual work.
Call campaigns
For sales or collections, load a list from a file and call contact by contact, recording the outcome of each call. At the end, results are measured per agent.
Per-agent settings
Each agent uses their own extension and outbound number; if the company has numbers in several countries, each call goes out with the right one.
Built-in CRM or integration with your current CRM
There are two paths and both are valid:
- Use a CRM that already includes calling. The fast option for teams working in spreadsheets today or without a CRM.
- Connect calling to your current CRM through an API. Best when the company already has years of data in another system. Your CRM originates calls and sends messages via API, and receives events (inbound call, message received) through webhooks.
What to check before choosing
- Are calls logged automatically? If agents have to log them, it will not happen.
- Does it include WhatsApp? In Latin America much of the customer conversation happens there.
- Does it show the customer's tickets? Sales and service need the same history.
- Who can access what? Permissions by role and by client.
- What does it cost per agent and what is billed separately: minutes, messages, numbers.
At TelHarbor, the CRM comes together with the Help Desk, included in the IP-PBX Enterprise plan for all 24 users and also available per agent. If you prefer to connect your own system, see the API and webhooks.
Frequently asked questions
Do I need to change my phone system?
To call with one click, the agent needs an extension on a compatible phone system. With a TelHarbor cloud phone system it works right away.
Can CRM calls be recorded?
Recording is done by the phone system according to its settings; calls are logged in the customer history.
Is it useful for small teams?
Yes. Small teams are exactly where losing the history when someone goes on vacation hurts the most.
Can I import my contacts?
Yes. Campaigns are loaded from a CSV file with name, phone and email.
